StudioFlowKit

Your inbox is not a booking system.

StudioFlowKit is a ready-made client workflow for wedding and portrait photographers. Reply templates, a tracker that follows each client from first inquiry to review, AI prompts, and automation recipes, so you stop building it from scratch.

Ten copy-and-paste replies for the messages photographers get most. One email with the link, then occasional updates on the kit. Unsubscribe by replying.

The kit follows one client through six stages. Frame 1 is where it starts.

What is in the kit

Here is the plan for version 1. You get a Notion workspace and a Google Sheets version of the same tracker, so you can use whichever you already work in.

Frame 1

Inquiry

Reply templates for pricing questions, date checks and "are you still available?", plus a tracker that logs every inquiry and when you last answered it.

Frame 2

Consult

A call checklist, a question list for couples and families, and an AI prompt that turns your call notes into a clear proposal email.

Frame 3

Booked

An onboarding checklist, a client questionnaire, and a drafted welcome sequence. Contracts are not included: bring your own, or have one reviewed by a lawyer.

Frame 4

Shoot prep

A shot list and timeline builder, a location and contacts sheet, and reminder emails you can schedule.

Frame 5

Delivery

An editing status board, a gallery delivery email, and an album and print follow-up you can edit.

Frame 6

Review

Review and referral request emails, an anniversary check-in, and a simple view of bookings by shoot type.

Automation recipes for the repetitive parts (acknowledging an inquiry, follow-up reminders, delivery notices) come with step-by-step setup. They are optional and may need a free account with an automation tool. The setup guide lists exactly what.

Made for

  • Wedding and portrait photographers who run their own studio.
  • Photographers who answer the same questions by hand every week.
  • Anyone who wants a working client workflow without building it first.

Probably not for

  • Studios already happy with a full client management tool.
  • Anyone looking for contracts, legal advice or marketing services.
  • Photographers who want software that runs by itself with no setup.

Questions

Is this a replacement for HoneyBook or Dubsado?

No. It is a set of templates, prompts and recipes you own and can edit, built in tools you may already use. If a full client management tool already works for you, you may not need this.

What do I need to use it?

A free Notion account or a Google account for the Sheets version. The automation recipes are optional and may need an account with an automation tool. The setup guide says which, before you start.

Where does AI come in?

The kit includes prompts you paste into ChatGPT, Claude or a similar assistant, for example to draft a reply in your voice from a client message. You read and edit everything before it goes to a client. The kit itself was drafted with AI assistance.

When will I get it?

By November 30, 2026. If the date moves, you will hear from me before it passes, and you can take a full refund instead.

What if it does not fit my studio?

Ask for a refund before delivery or within 14 days after, and you will get it. See the terms.

Who is behind this?

I am Syed, and I am building StudioFlowKit independently. You can reply to any email from me and I will answer.
