How to use these
Replace everything in [square brackets] before you send.
Reply the same day when you can. A short, warm reply early usually beats a perfect one later.
Read each one out loud once. If it does not sound like you, change it.

1. First reply to a new inquiry
Use when someone writes in and you do not yet know their date or details.

Hi [Name],
Thank you for reaching out. I would love to hear more about your [event type].
To check my calendar and point you to the right option, could you tell me:
- The date and location
- Roughly how many hours you would want covered
- What matters most to you about the photos
Once I have that, I will reply within [one business day] with availability and the packages that fit.

2. Your date is available
Use when you can take the date and want to move the conversation forward.
Subject: [Date] is open
Hi [Name],
Good news: [Date] is available. I am happy to hold it for you for [number] days while you decide.
Here is what I would suggest for your [event type]: [package name], which includes [two or three main things]. It is [price].
If you would like to talk it through, I have [two time options] open for a [15-minute] call. Or reply here with any questions.

3. Your date is not available
Use when you are already booked. Keep the door open.

Hi [Name],
Thank you for thinking of me for [event]. I am already booked on [Date], and I am sorry I cannot be there.
If it helps, [Photographer name] does lovely work and may still have the date: [link]. I do not take a fee for this. I just want you to find the right fit.
If your plans change or you have another date in mind, please write again. I would be glad to help.

4. "What are your prices?" as the first message
Use when the first line is only a price question. Answer it, and ask one question back.

Thanks for asking. My [event type] collections start at [starting price] and go up to [top price], depending on hours and what is included. The [package name] at [price] is the most popular.
So I can point you to the right one: what date and location are you looking at, and how many hours of coverage do you have in mind?

5. Their budget is below your minimum
Use when you cannot meet their budget and want to stay kind and clear.

Hi [Name],
Thank you for being open about your budget. My collections start at [starting price], so I would not be able to cover the full day within [their budget].
Here are two options that might work: [a shorter session or smaller package at a price that fits], or [a payment plan, if you offer one].

6. Follow-up after sending pricing
Send about 3 days after your pricing email if you have not heard back.

7. Second follow-up, to close the loop
Send 7 to 10 days later. Make it easy for them to say no.

8. After a consult call: next steps
Send within a day of the call, while it is fresh.

It was lovely to talk with you today. From our call, what matters most to you is [two or three things in their words].

Send as soon as the retainer and agreement are in.

10. A client needs to reschedule
Use when a booked client asks to move their date or session.
